Sponsor FAQ
How do we apply, and is there a deadline?
Contact us at mlss2027@oist.jp with your preferred tier. We'll send an application form; the organizing committee reviews each application, and we reserve the right to decline sponsorships that don't align with the programme's academic mission. Once approved, we'll issue an invoice, and your slot is confirmed once payment is received. Platinum (3 slots) and Gold (5 slots) are limited and allocated on a first-come, first-served basis, so we recommend applying early. The application deadline is Friday, December 19, 2026.
What payment methods are accepted?
Payment is by bank transfer only. We accept transfers from both Japanese and overseas bank accounts. An invoice with our bank details is issued once your application is confirmed, and a receipt is issued on request after payment is received.
Can we change our sponsorship tier after applying?
Yes, subject to availability in the tier you'd like to move to. Since Platinum and Gold are capped at 3 and 5 companies respectively, a change is only possible if a slot is still open in the target tier at the time of your request. Contact us and we'll let you know if space is available.
What does the Platinum exhibition booth include?
A standard booth (table, two chairs, nameplate, and power outlet) in a shared common space, reserved for your company for the full 12-day programme (March 1–12, 2027). You don't need to staff it continuously — many sponsors staff the booth only on the days that work for them, while the space stays reserved throughout. Let us know in advance if you'd like to bring banners or demo equipment.
How do the complimentary participant invitations work?
Each tier includes a set number of invitations that waive the MLSS participation fee. Invitees must be employees of the sponsoring company and register individually through the normal registration process, selecting the sponsor-invitation option and entering the sponsor code we provide. Invitations can't be transferred to other organizations or resold.
Are travel and accommodation included?
No — as with all MLSS participants, sponsors and their invited guests are responsible for their own travel to Okinawa and accommodation during the programme. We're happy to share information on nearby hotels on request.
What can we present in the company presentation slot?
The slot should mainly be a research presentation — your company's AI/ML work, technical challenges, or open problems, presented in a way that fits the plenary programme. You're welcome to add a brief mention of recruiting at the end, but purely promotional or sales-style pitches don't fit the programme. Please send us your title and a short outline in advance so we can schedule it into the plenary programme.
How does the Sponsor Award work?
Platinum and Gold sponsors may present one Sponsor Award (for example, to an outstanding poster or project from the programme). You set the criteria and provide the prize at your own cost; our organizing committee helps coordinate the selection process, and the award is presented at the closing ceremony.
